You will support the Quality Manager, Lead Quality Advisor, Project Unit Manager(s), Project Managers, Project Teams, Engineering/Drawing Office, Construction and Procurement staff with Document Control across all project portfolios.
What you’ll be doing
Report to the Quality team with assigned projects/regions on a labour‑allocation basis, taking day‑to‑day instruction from allocated PMs (on said projects) to ensure projects are delivered on target within the boundaries of the SPT IMS, supporting documentation flow between SPT, partners, contractors and suppliers for EPC, PC and NEC4 contracts.
Report to the Lead Document Controller and support the day‑to‑day management of the document management system, including regular reviews and implementation of required changes to ensure it remains “fit for purpose”.
Support the configuration, optimisation and governance of Autodesk Construction Cloud (ACC) across assigned projects, ensuring accurate setup, controlled workflows and consistent data integrity throughout the project lifecycle.
Team contact for the DMS (process, training, communication, system development), including resolving issues as they arise on a daily basis.
Throughout the project lifecycle, ensure access control is monitored effectively and updated in line with business goals and objectives.
Manage digital document workflows using the DMS.
Organise and maintain project documents in line with IMS requirements, ensuring correct templates, revisions, structure and approvals, and facilitating corrections where required.
Support ongoing DMS process and procedure review and development.
Conduct regular inspections to ensure the integrity of project documents (e.g., project templates, Final File, tender documentation).
Attend project kick off meetings as required.
Administer records, drawings and documents in accordance with SPT IMS and other specifications.
Establish and maintain project drawing registers.
Establish individual project document transmittals.
Coordinate the final project archive, ensuring the integrity of the final file after PM completion notification.
Upload Final File as built drawings to Vault, complete drawing comparator checks and work with the Engineering Coordinator to resolve any issues.
ACC Specific Responsibilities
Deliver end to end ACC configuration including Members, Permissions, Workflows, Meetings, Forms, Issues, TQ/RFI modules etc., ensuring compliant setup and operation across all projects.
Execute project migrations into ACC in line with agreed migration plans, ensuring minimal disruption and maintaining high standards of data quality and document integrity.
Perform routine ACC project health checks, ensuring metadata accuracy, workflow performance and alignment with IMS and ISO 19650 requirements.
Work collaboratively with the Quality Analyst and project teams to complete monthly improvement actions arising from data insights, audits or health checks.
Contribute to continuous improvement of ACC configuration and DMS processes by raising and documenting change requests through the LDC change control process.
Maintain strong working relationships with PMs, PUMs and wider stakeholders to support ACC adoption and ensure high user satisfaction across all projects.
What you’ll bring
Previous Document Control experience and/or HND/equivalent in a business discipline related area.
Working knowledge of Document Management Systems with emphasis on document control procedures.
Experience of ACC/Autodesk, ProjectWise and SharePoint systems (advantageous).
Experience in a Document Control role for major construction or utility construction projects (advantageous).
Ability to multitask, prioritise workload effectively and work efficiently to meet deadlines.
High degree of IT literacy, with strong IT and administration skills.
Ability to interpret and present information in a logical and orderly manner.
Experience of ISO 9001:2015 Quality Management Systems and ISO 19650 (BIM) (advantageous).
Good interpersonal and communication skills, with the ability to form effective working relationships with individuals, departments and external parties.
Experience in final file/project handover processes (advantageous).
ACC‑specific skills
Advanced knowledge of Autodesk Construction Cloud (ACC) configuration, workflows, permissions and data structures (desirable).
Experience delivering ACC project migrations and establishing standardised document and metadata structures (desirable).
Ability to interpret and analyse project data using ACC Insights or similar tools.
Experience conducting system‑based governance checks, metadata audits and workflow performance reviews.
Ability to support system users through training, capability development and adoption support.
