ABOUT THE ROLE
As Project and Business Administrator, you will play a central role in supporting the day-to-day running of the business. Working across both project delivery and business operations, you will be the connective tissue between our project managers, operations team, workshop, and clients — ensuring that information flows smoothly, deadlines are met, and nothing falls through the cracks.
This is a varied, fast-paced role that suits someone who thrives on variety, takes initiative, and brings both organisational rigour and creative flair to their work. No two days are the same.
Both full-time and part-time applications are welcome.
KEY RESPONSIBILITIES
1. Day-to-Day Business Administration
- Manage the general email inbox: monitoring, responding, and routing enquiries to the relevant team member.
- Administer the NetHunt CRM system, maintaining accurate records and preparing management reports.
- Prepare routine weekly and monthly business reports for the senior team.
- Attend and minute weekly production meetings; circulate notes and action points to the team.
- Support the Operations Manager with day-to-day administrative tasks as required.
- Provide administrative support to the Workshop Manager
- Place orders for routine stock items and assist with purchasing administration.
- Assist with social media management and digital/visual communications.
- Maintain Health & Safety records, training logs, and assist with sustainability reporting.
2. Project Administration
- Prepare, check, and manage client quotations in collaboration with project managers.
- Liaise with project managers to support project scoping, correspondence, and proposal preparation.
- Set up and maintain Project Management Plan files for active projects.
- Coordinate client communications throughout the project lifecycle.
- Assist with the design and preparation of project proposals and presentations.
- Book travel and accommodation for installation and maintenance teams.
- Provide general support to the Installation Team as required.
- Assist with ad-hoc project tasks as they arise.
WHAT YOU WILL BRING
- At least 3 years’ experience in a business administration or project coordination
- A proactive, flexible attitude — you take ownership, stay organised, and anticipate what needs doing.
- Excellent written and verbal communication skills, including confident email and telephone communication.
- Strong attention to detail and a creative eye for visual communications.
- The ability to work independently and as part of a collaborative, close-knit team.
- Proficiency in Microsoft Office and Google Workspace.
- Experience with CRM systems (familiarity with NetHunt is an advantage, but not essential).
- An interest in sustainability, nature, or the environment would be a bonus.
