Business Support Coordinator — Finance, Operations & Projects

We are a small, growing engineering company based in Glasgow, working in instrumentation, gas detection rental, and industrial measurement projects.

We are looking for a clear-thinking, organised and experienced person to support the day-to-day running of the business across finance administration, operations, projects, rentals, suppliers and general coordination.

This role would suit someone who has previously supported the running of a small business and is comfortable dealing with finance admin, suppliers, customers, documentation and day-to-day coordination.

Salary: £30,000–£34,000 FTE per year

Actual pay: £18,000–£20,400 per year based on 3 days per week / 60% FTE

This is a hands-on business support role in a small engineering company. It would suit someone who is organised, practical, confident with detail, and able to take ownership of tasks with minimal supervision.

This is not an entry-level role. A minimum of 2 years’ relevant experience is required.

Responsibilities

Prepare and issue sales invoices
Carry out bank reconciliations and basic finance administration in Xero
Track costs, supplier invoices, purchase orders and project-related expenses
Coordinate day-to-day operations and ongoing project activities
Liaise with customers, suppliers and subcontractors
Chase deliveries, paperwork, quotes and outstanding information
Maintain ISO9001 documents, forms and quality records
Support rental tracking, calibration schedules and customer renewals
Prepare project folders, job packs and supporting documentation
Update the website with simple edits and assist with basic marketing tasks
Take ownership of tasks and help keep work moving with minimal supervision

Requirements

You must have:

Minimum 2 years’ experience in finance administration, operations support, project coordination, technical administration, bookkeeping or a similar role
Experience preparing invoices and working with accounting or bookkeeping software
Strong organisational skills and attention to detail
Good written and verbal communication skills
Confidence communicating with customers, suppliers and subcontractors
Proficiency with Excel, Word, Outlook and similar tools
Ability to prioritise work and manage tasks independently

Nice to have, but not essential:

Xero experience
Experience with bank reconciliations
Experience in engineering, utilities, manufacturing, construction or rentals
ISO9001 experience
Familiarity with WordPress/Wix, Canva or basic email marketing tools

Hours & Working Pattern

Part-time: 3 days per week, 9:00am–5:00pm

Ideally Tuesday, Wednesday and Thursday, but flexibility is possible for the right person.

Office-based role in Rutherglen, Glasgow.
